Privacy Notice

This notice explains what personal information the League uses, why it is needed, who may receive it and the choices available to you.

Last updated: 12 October 2026

Who is responsible for your information?

The Coleraine & District Indoor Bowling League is responsible for personal information used through this website and for the administration of its competitions.

For a privacy question or request, use the Contact page and select League Secretary / General Enquiry.

Information we may collect

  • Contact enquiries: your name, email address, optional telephone number, selected recipient, subject and message.
  • League officers, club secretaries and delegates: contact details, team or role assignments, account status and security activity.
  • Players and competitions: names, team registrations, appearances, match cards, scores, results and related administrative records.
  • Join Us enquiries: the contact, team, venue and playing information supplied with the enquiry.
  • Technical and security information, including timestamps, server logs and a protected hash derived from a network address for contact-form rate limiting.

Why we use it

  • To answer an enquiry and send it to the person selected.
  • To administer teams, registrations, fixtures and competitions.
  • To operate secretary and delegate accounts securely.
  • To receive, review, publish and audit match results.
  • To maintain accurate historical League and competition records.
  • To prevent misuse and investigate technical or security problems.

The lawful basis depends on the activity. Most of this use is necessary for the League's legitimate interests in answering requested enquiries, running its competitions and keeping the website secure. The League may also rely on consent for a specific optional use, or on compliance with a legal obligation where applicable.

Who may receive it?

An enquiry is sent to the League officer or club secretary selected by the visitor. An archive copy may be retained in a League-controlled mailbox. Authorised administrators may access records where needed to operate the League and website.

Hosting, email and technical service providers may process information on the League's behalf. Information may also be disclosed where the League is legally required to do so. We do not sell personal information or provide it to advertisers.

Public competition information

Fixtures, results, league tables, team names and appropriate player information may be displayed publicly as part of the League's sporting record. Private secretary and delegate contact details are not displayed on the public website.

Junior players

Where competition records include a junior player's name, only the information needed for registration and competition administration should be used. Private contact details for junior players should not be published.

Cookies and information stored on your device

The site uses essential session storage for security, forms and signed-in account functions. The installable web app may cache public site files so that it loads reliably.

The Electronic Scorecards tool stores the unfinished card, identifiers and scores in that visitor's browser. That scorecard information is not submitted to the League database. It can be removed using the tool's clear option or the browser's site-data controls.

As currently configured, the website does not use advertising or behavioural-tracking cookies. This notice must be reviewed before adding analytics, advertising or other non-essential tracking.

How long information is kept

Information is kept only for as long as it remains necessary for the reason it was collected, League administration, security, dispute handling or a legal requirement.

Contact details are reviewed when a role or team assignment changes. Enquiries may be removed when they are resolved and no longer needed. Results and appropriate competition records may be retained as part of the League's historical sporting record. Security and audit records are retained only for as long as they remain useful and proportionate.

Security

Access to administration and secretary functions is restricted. Passwords are stored as one-way password hashes rather than readable passwords, and important account and result actions may be recorded in audit logs.

Reasonable technical and organisational safeguards are used, although no internet service can guarantee absolute security.

Your rights

Depending on the circumstances, you may ask for access to your personal information, correction of inaccurate information, deletion, restriction of use, transfer of information, or object to certain uses. Where use is based on consent, you may withdraw that consent without affecting earlier lawful use.

Contact the League first so that the matter can be investigated. You also have the right to complain to the Information Commissioner's Office (ICO) .

Please do not send passwords, medical information or other unnecessary sensitive details through a public contact form.

Changes to this notice

This notice will be updated when the website begins collecting information in a new way or when League processes materially change. The latest revision date will be shown near the top of this page.
